SWOOP Analytics for SharePoint Intranets has two export feature that allows administrators to extract details of links embedded within SharePoint pages. This includes both internal and external links found in text web parts, but excludes links in navigation menus (and other web parts currently)
This feature is ideal for organisations looking to audit content, track usage of specific URLs, or prepare for platform migrations by getting a list of pages that contain the old links to a system.
What’s Included in the Export
The export provides two distinct reports:
1. Visited Links Report
- Shows links that users have clicked.
- Includes:
- Link URL
- Number of clicks
- Page URL where the link appears
2. All Links Report
- Extracts every link found in text-based web parts on SharePoint pages.
- Includes:
- Page Title
- Page URL
- Link URL
- Link Text
Note: Navigation links (e.g. menu items) are not included in either report due to technical limitations in how navigation is rendered.
Accessing the Export
- Navigate to the Admin Settings in SWOOP for SharePoint.
- Go to the Data Export section.
- Select either:
- Visited Links Export
- All Links Export
- Download the CSV file for analysis.
You must be a SWOOP Admin to access these settings.
Use Cases
- Content Audits: Identify outdated or broken links across your intranet.
- Migration Planning: Locate all references to systems being replaced (e.g. HR platforms).
- Security Reviews: Track external links to ensure compliance with organisational policies.
- User Journey Mapping: Understand which pages link to key resources.
Current Limitations
- Navigation links (e.g. top menu items) are not captured.
- Only links in text-based web parts are included.
