This feature is for SWOOP Full Admins only.
If you want to get an export of all the hyperlinks people have clicked on across all the sites you've added to SWOOP for SharePoint, then you can do that through the Links Data export. You'll find this in the Admin Settings, under the 'Data Export' tab, titled 'Export Links Data'.
This export only includes links in SharePoint text web parts.
Click on the 'Export' button and this will generate a file that shows all the URLs. A complete listing of the contents in the file is provided below:
SWOOP SharePoint Links Report:
- Link: this is the URL of the link.
- Clicks: the total amount of clicks the link has received
- Page_ids: this is the SharePoint page ID that the link sits on.
- Page_urls: this is the page URL that the link sits on.
Note that the list includes links that people have clicked on while being on a SharePoint page that SWOOP is activated for. This means that if you have content in dynamic cards, eg a feed from Viva Engage, and people click on this, then it will appear in the export as a hyperlink to Viva Engage.
The export file does not currently support the selection of a date-range, so it will include all links recorded by SWOOP since SWOOP was activated. That also means that the link may no longer be present on the intranet.
How you can use the SharePoint Links Data Export
As intranets grow, it can be a challenge to keep links up to date or even just get an understanding of where links to a particular application or website have been added. This is where the SharePoint Links Data Export feature can help. Let's say that you know that you know that a new system for applying for annual leave is being rolled out, and you have to prepare for this by finding out where there are links to the old system. Just use the export feature to find all the pages that have links to the existing system so you know exactly what to replace when the new system is launched.
As the export links feature also works as a sort of audit log of all links clicked on it means that you can find more insights about how people are using the intranet.
Soon the export file will also show which web part the links are included in as well as the hyperlinked text (if applicable).
