Background and Context
Privacy is important to SWOOP, and we have been looking at how we handle data from private communities including who has access to access the SWOOP data and the underlying content in Viva Engage. We want to provide SWOOP users with insights whilst protecting the privacy settings in Viva Engage users.
We have adopted the approach that SWOOP users should be able to see the impact of private communities in our reports whilst keeping the content contained in these private communities only accessible to those who can also see this in Viva Engage. This approach ensures that we reflect the true levels of activity in the Viva Engage network without exposing content.
Commencing in January 2025 we are altering the way our reports in SWOOP for Viva Engage deal with public and private communities.
Previously, our reports were inconsistent in how data from private communities were presented. This led to some discrepancies between numbers being shown in different reports. For instance, on the Topics dashboard, the Key Statistics would include the total number of post and replies from both public and private communities, but the Most Engaging Posts report would only show posts from public communities and this approach has caused some confusion.
Reports will now, unless explicitly stated, include data from both public and private communities. Where reports show the content from posts, we will only display this to users who are either members of the private community or are a 'Verified Viva Engage Administrator' with Private Content Mode enabled.
The screenshot below shows the Content Mode setting in Viva Engage:
Please note that once the content mode is changed it can take up to 24 hours to take effect in SWOOP for Viva Engage.
If SWOOP users are NOT members - or do NOT have the Private Content Mode enabled - we will show the message "Content only available to members".
Therefore, starting from January 2025, users may start to see "Content only visible for members" in reports that show previews of discussion threads.
Dashboards and private communities.
We include the activity data from private communities across our reports by default.
Enterprise Dashboard
By default, we include analytics from private communities on reports in the Enterprise-level dashboard. Use the 'Select Message Type' dropdown to include or exclude messages in private communities:
Communities Dashboard
The Communities Dashboard already adheres to a person's Viva Engage permissions, and private communities can be selected. When a private community is selected, all SWOOP users will see the analytics, but only members - or Viva Engage admins with Private Content Mode enabled - can see the content components.
Topics Dashboard
Hashtags that are applied to messages in private communities will only be searchable by members of the communities, or Viva Engage admins with Private Content Mode enabled.
Threads Dashboard
On the Threads Dashboard users can search for posts in private communities, but they will only see the content of the post if they are a member of the private community (or is a Viva Engage admin with Private Content Mode Enabled). Otherwise they see the message "Content only visible to members":
Segments Dashboard
As segments are defined by attributes rather than content, we include users' activity and posts from both public and private communities.
Personal Dashboard
As the personal dashboard is tied to an individual, it will show all their activity and content regardless of whether posted in private or public communities. Any content you have posted you will have access to see so will be displayed in the relevant reports.

Most Engaging Posts Report
Found on the Content Tab on all dashboards, the Most Engaging Posts report previously excluded content from private communities. We now include content from private communities. Only members or Admins with private content mode enabled will see the post content otherwise users will see "Content only visible to members".
Hot Topics Report
Found on the Content Tab on the Enterprise, Communities, Segment and Personal dashboards, the Hot Topic report previously excluded content from private communities. We now include content from private communities. Only members or Admins with private content mode enabled will see the post content otherwise users will see "Content only visible to members".
Forecast Report
Found on the Content Tab on the Enterprise, Communities, and Personal dashboards the Forecast report previously excluded content from private communities. We now include content from private communities. Only members or Admins with private content mode enabled will see the post content otherwise users will see "Content only visible to members".
Keyword Cloud Report (TBC)
Found on the Content Tab on all dashboards, the Keyword Cloud report previously excluded content from private communities. We now include content from private communities. Only members or Admins with[ private content mode enabled will see the post content otherwise users will see "Content only visible to members".
Sentiment Analysis Report (TBC)
Found on the Content Tab on all dashboards, the Sentiment Analysis report previously excluded content from private communities. We now include content from private communities. Only members or Admins with private content mode enabled will see the post content otherwise users will see "Content only visible to members".
Impact of Attachments Report
Found on the Content Tab on all dashboards, the Impact of Attachments report previously included only the data from private communities. The report allows users to expand the details to show which posts have the relevant attachment and this used to exclude posts in private communities. We now include content from private communities in these expanded lists. Only members or Admins with Private content mode enabled will see the post content otherwise users will see "Content only visible to members".
Response Rate Report
Found on the Engagement tab on the Enterprise, Communities, Topics, Segment and Personal dashboards, the Response Rate report previously included only the data from private communities. The report allows users to expand the details to show which posts have no responses and this used to exclude posts in private communities. We now include content from private communities in this expanded lists. Only members or Admins with Private content mode enabled will see the post content otherwise users will see "Content only visible to members".
Most Praised Report
Found on the Engagement tab on the Enterprise, Communities, and Segment dashboards, the Most Praised report previously only included public communities. We now include data from private communities as well.
