Community managers are often involved in cleaning up communities, but quickly getting an overview of all communities can be challenging, and Viva Engage does not allow for an export of communities.
The purpose of the 'Export Community List' feature in SWOOP for Viva Engage is to allow SWOOP Admins to download a list of all communities (deleted communities are excluded). The file includes the following:
- GroupName (see notes below as this field is blank by default)
- URL
- Privacy (is either Public or Private)
- ShowInDirectory (is either yes or no)
- External (is either true or false)
- LastActivity (date of last activity in the communities)
- EffectiveDate (date community was created)
- TotalPosts
- TotalReplies
- TotalLikes
- GroupAdmins
The 'Total' numbers are for the chosen date range in SWOOP.
By default the 'GroupName' field will be blank. This is because SWOOP does not store these by default. However, there is an option in the SWOOP data miner (see further below), where you can opt-in to allow SWOOP access to store the communities' names, and we will then include them in the export file.
The GroupAdmin field will contain the Viva Engage IDs of the community admin(s). To get the name(s) of the person(s) export all Viva Engage users via the Viva Engage admin export option. This Viva Engage export file includes the Viva Engage ID along with name and email address of all users and you can then easily locate the community admins using the SWOOP export file.
Exporting list of communities
To export the list of communities follow these steps:
- Click on the 'Admin' link on the bottom left of the screen, under the dashboard options (is only shown for SWOOP Admins)
- Click on the Data Export tab
- Find the 'Export Community List' option.
- Click 'Export'
Adding community names to the export file
As outlined above the community names are not stored in SWOOP by default. If you would like for community names to be added to the export file you need to give SWOOP permission to store these names. Only a Viva Engage Verified Admin can assign this permission to SWOOP. Here is how you do it:
- Click on the 'Admin' link on the bottom left of the screen, under the dashboard options (is only shown for SWOOP Admins)
- Click on the 'Miner' tab
- Click on the link to the data miner and then log on to the SWOOP data miner (you need to be a Viva Engage Verified Admin to be able to log on to the SWOOP data miner)
- Tick the box 'Include group names in the export file'
Please allow for up to 24 hours for this setting to work.
