SWOOP for M365 provides powerful insights for helping organisations improve the way people collaborate and communicate on M365.
Each SWOOP for M365 calculates a set of seven collaboration habit scores, and an average Collaboration Score is also generated.
SWOOP for M365 is getting a major update that is set to refine how the Collaboration Habits are assessed at the Segment and Enterprise levels.
As we initially set the calculations for the Collaboration Habits, we were so immersed in the numbers, like a painter looking at the fine brush strokes, that we didn’t stop to step back and see the big picture. It took some incredible feedback from a customer for us to step back and go ‘huh…that does make more sense’.
We immediately turned to the data to see what we were currently doing and what we needed to do to fix this.
Previous Calculations
Our previous calculations at the Segment and Enterprise level would add up all the activities of the cohort of people and then calculate the Collaboration Habit Score from that. Basically meaning that those in the segment who perhaps weren’t as active on the various platforms would be swept up with those who are doing fantastic across the platforms, to give an inflated score of what the Segment and Enterprise are actually doing.
Example:
A given segment has two people. One person has a Collaboration Score of 50 and one has a score of 100. These individual scores were based on each person's unique use of M365.
The segment's collaboration habit score was determined by combining all of the segment members' activities. Think of this as a new 'person' who has all of the combined M365 activity.
This approach will generate a Collaboration Score for this segment of 100.
New Calculations
Our new calculations look at each individual person’s activities across all platforms and then an average of that will be the Collaboration Habits Scores for the Segment and Enterprise. This calculation method ensures a comprehensive evaluation of how each person works digitally, offering a more accurate reflection of productivity across all platforms.
Example:
The same segment of two people with a Collaboration Score of 50 and 100, respectively. Then we determine an average of the individual people’s activities and scores, so the Collaboration Score of the segment now looks like:
100 + 50 / 2 = 75
Implications
While this update may initially result in a decrease of the Collaboration Habit scores at the Segment and Enterprise levels, the adjustment will offer a more accurate perspective on organisational collaboration. This shift towards individual-level assessment acknowledges the diverse ways in which different users engage and collaborate within the same organisational framework. But we know that collaboration best practice is not the responsibility of an individual but of the collective. While we are shining a clearer light on all individuals, we’re really shining an even brighter light on the Segment as a whole, revealing real data on collective teamwork.
Next Steps
Now, you may be looking at this shift in the data and unsure on how to proceed. To confirm, this is the same data of your people, now it’s more accurately depicted.
- At the individual level, the data hasn’t changed at all.
Anyone tracking their own activity will still have the same scores. Individuals will have a clear understanding of their performance and visibility for ongoing self-assessment and improvement of their usage.
- The Segment and Enterprise calculations show a clearer picture of M365 usage, with more visibility to Segments with low or zero active levels.
This provides an opportunity to acknowledge and appreciate the hard work put in by everyone within the segment. Recognising individual efforts and offering better visibility to those with some opportunity in certain areas, where to encourage growth and development.
- Meeting people where they’re at and opening the door to where they could be.
The key to fostering effective digital transformation. Now with a more accurate depiction of a Segment’s digital usage and productivity, you can better understand their digital behaviours. It’s not likely that a team working solely in Microsoft Teams may not readily transition to Viva Engage to collaborate. So, understanding where the team is currently working will help with communications and targeted adoption strategies. This approach paves the way for gradual integration of new tools and practices.
- Effective collaboration practices for the whole team
It all begins with a collective decision on how and where to work. By establishing mutual agreements, teams can create a shared expectation of collaboration that empowers everyone with the ownership of their team's digital behaviour.
This approach not only fosters a cohesive working environment but also sets up workflows that are aligned with the whole team.
- It’s all about balance
Only working in email and shifting that to Microsoft Teams chat is not creating balance. Balance means leveraging each tool appropriately: email for external communication, Teams Channels for teamwork, Teams Chat for quick exchanges, Viva Engage for knowledge sharing, and work-out-load in SharePoint. Finding the balance can offer efficient communication and collaboration while prioritising productivity across different workflows and team dynamics.
